Election Timeline

Application deadline: Friday, April 17th, 2009 at 5:00pm
Voting: Monday, April 20th, 2009 - Friday, April 24th, 2009

NOTE: All nominees must give a short speech during the elections meeting scheduled in April about why they are interested in the position and why they feel they are qualified.

For the positions already in existence, feel free to contact current officers if you have any questions regarding their specific roles in SWE. Committe applications will now be available right after the executive board elections from April 27th-May 1st. Applications will be reviewed by the newly elected 2009-2010 president and VPs, followed by a group interview. Please keep an eye on the website and newsletter for the latest information!

BY ELECTION

President

The President oversees all of SWE's operations. Must have prior SWE leadership experience (e.g. executive board, officer council, or committees). Responsibilities include:

  1. Conduct weekly executive board meetings, biweekly meetings with the Women In Engineering Director, Vice Presidents & Presidents meetings as necessary and monthly all officer meetings
  2. Host monthly general meetings with committee members
  3. Meeting all University and SWE National deadlines for section recognition, funding, and periodic reports
    1. Work with Treasurer and VP of Corporate Affairs for SWE Regional and National Conferences
    2. Publicize and recruit SWE members’ conference participation
  4. General oversight of executive board and event planning
    1. Attend VSC, IAB, WSA leadership retreats
    2. Plan SWE-USC officers retreat
  5. Maintain recruitment/retention via involvement fairs (USC, VSC, Discovery Day)
  6. Checking SWE email and mailbox frequently and keeping in contact with RTH staff
  7. Overall, promoting SWE to the best of her ability, and keeping section vitality!
  8. Attend weekly executive board meetings

Vice President of Corporate Affairs

The VP of Corporate Affairs serves as the SWE-USC liaison to the corporate world, educating members about the job market, and introducing them to job/internship opportunities. Must have prior SWE leadership experience (e.g. executive board, officer council, or committees). Responsibilities include:

  1. Serve as one of three vice presidents on the executive board, responsible for running general and executive board meetings in the event the President cannot be present.
  2. Find, contact, solicit sponsorship for SWE events
  3. Create, update and send solicitation packets
  4. Maintain an updated database of corporate contacts
  5. Compile resource of job/internship opportunities for members
  6. Oversee corporate events including but not limited to:
    1. Evening With Industry, Afternoon With Industry, Meets & Mingles, CED Corporate Events, social corporate events
  7. Work with Corporate Affairs Committee to plan, coordinate and execute student oriented programs
    1. Conduct and prepare agenda for committee meetings
  8. Acts as the Executive Board liaison to the Corporate Affairs Committee
    1. Notifies committee members of upcoming SWE events
  9. Attend biweekly meetings with the Women In Engineering and Vice Presidents & Presidents meetings as necessary
  10. Plan Fall Welcome Back BBQ/Karaoke with other two VPs
  11. Attend weekly executive board meetings

Vice President of Student Affairs

The VP of Student Affairs publicizes and promotes SWE events to members and non-members. Must have prior SWE leadership experience (e.g. executive board, officer council, or committees). Responsibilities include:

  1. Serve as one of three vice presidents on the executive board, responsible for running general and executive board meetings in the event the President cannot be present.
  2. Oversee student affair events including social and academic but not limited to:
    1. Charm School, Date Auction, Tea With Faculty, Big/Lil Sib Program, Ice Cream Socials
  3. Work with Student Affairs Committee to plan, coordinate and execute student oriented programs
    1. Conduct and prepare agenda for committee meetings
  4. Acts as the Executive Board liaison to the Student Affairs Committee
    1. Notifies committee members of upcoming SWE events
  5. Attend biweekly meetings with the Women In Engineering and Vice Presidents & Presidents meetings as necessary
  6. Plan Fall Welcome Back BBQ/Karaoke with other two VPs
  7. Attend weekly executive board meetings

Vice President of Community Affairs

The VP of Community Affairs serves as the SWE-USC liaison to SWE national and to the community through philanthropy outreach events. Must have prior SWE leadership experience (e.g. executive board, officer council, or committees). Responsibilities include:

  1. Serve as one of three vice presidents on the executive board, responsible for running general and executive board meetings in the event the President cannot be present.
  2. Oversee following community outreach programs but not limited to:
    1. SWE: Halloween Fun Fair, Try It Riot, Girl Scout Badge Day, beach cleanups, shelter volunteering
    2. Joint: CED Canned Food Drive, Habitat for Humanity
  3. Work with Community Affairs Committee to plan, coordinate and execute community outreach programs
    1. Conduct and prepare agenda for committee meetings
  4. Acts as the Executive Board liaison to the Community Affairs Committee
    1. Notifies committee members of upcoming SWE events
  5. Attend biweekly meetings with the Women In Engineering and Vice Presidents & Presidents meetings as necessary
  6. Plan Fall Welcome Back BBQ/Karaoke with other two VPs
  7. Attend weekly executive board meetings

Secretary

The secretary acts as an organizer of information from all meetings and events, and ensures that members, officers, and advisors have access to this information. Responsibilities include:

  1. Record and circulate minutes for both general and officer meetings.
    1. Send minutes by email to officers and advisors in a timely manner
    2. Post officers and general meeting minutes on website to be accessible to members
  2. Compile and write the weekly SWE newsletter
  3. Update swe-usc email listserv with new members from signup lists and new member signups collected by the Treasurer
  4. Acts as the Viterbi Student Council Liaison by attending meetings and submitting event posts
  5. As an integral member of the officer board, aid in event planning and tasks as required.
  6. Attend weekly executive board meetings

Treasurer

Money makes great SWE events happen! Duties of the treasurer include:

  1. Keeping books on SWE-USC bank account
    1. Cut checks for SWE transactions
    2. Make deposits to the accounts
    3. Handle reimbursements
    4. Handle funding applications with USC, VSC, corporate
  2. Setting up and maintaining online payment account
  3. Producing monthly expenditure financial reports. Include:
    1. Allocation of income, resources, and funding
    2. Cash flow of expenditures
  4. Maintaining SWE membership applications
    1. Register new members with SWE National Headquarters
    2. Forwards new member emails to the Secretary
  5. Maintaining demographic info
    1. Breakdown of majors, year, gender
    2. Create charts with updated info
  6. Compiling and submitting SWE National annual financial report in May
  7. Attend weekly executive board meetings

Historian

This officer keeps a record of all of our events. This position is very important and a lot of fun! The historian is responsible for taking a lot of pictures. In addition, you are the record keeper for generations of SWEsters to come! Responsibilities include:

  1. Taking pictures! Pictures are kept in the scrapbook section of our website, and are kept in a scrapbook used for publicity at all of our events.
  2. Documenting events in SWE scrapbook
    1. Keep post-event member surveys
    2. Write up post-summary reports
  3. Keeping track of attendance sheets from events
  4. Maintain best and worst practices of each event
  5. Compiling this information into end of year reports to use for competition of best SWE best student section and USC Outstanding Student Organization.
  6. Attend weekly executive board meetings

Webmistress

This office maintains and updates the website. Responsibilities include:

  1. Design and maintain website content: events, meetings, internships/jobs
  2. Create registration forms for events
  3. Generate online event surveys
  4. Track website traffic
  5. Create SWE-USC discussion board
  6. Create and update SWE-USC newsfeed-SWE-USC publicity
  7. Design and update RTH banners and Event Cards as necessary
  8. Design graphics for t-shirts, and other miscellaneous graphic work
  9. Attend weekly executive board meetings

Women's Student Assembly Liaison

The Women’s Student Assembly (WSA) Liason represents SWE in the umbrella organization of WSA. WSA is a campus-wide assembly that is open to all groups and individuals interested in the support of gender equality. The WSA Liason’s duties include:

  1. Attending and being an active participant in WSA meetings and discussions
  2. Attending WSA retreats with the President
  3. Maintaining good standing within WSA through complying with WSA guidelines, policies and procedures
  4. Applying for funding from WSA for a couple of events throughout the year
  5. Attend weekly executive board meetings
