SWE-USC Executive Board 2011-2012

Election Timeline

Application deadline: Saturday, March 26th, 2011 at 11:59pm
Voting: Monday, March 28th, 2011 - 5pm Friday, April 1st, 2011

All nominees must attend the mandatory meeting on March 29, 2011, 5:30 - 6:30pm and present a 2-3 minute candidate speech about why they are interested in the position and why they feel they are qualified. The meeting will be recorded for the reference of voting. If you have a class conflict, please contact Ann Chong, SWE President, at annchong@usc.edu, to set-up an alternate plan.

For the positions already in existence, feel free to contact current officers if you have any questions regarding their specific roles in SWE. Their contact information is at the bottom of each description. For general questions or questions regarding new positions, feel free to email SWEUSC at USC dot EDU.

Committee applications will be available throughout the executive board elections from April 4th-April 8th. Applications will be reviewed by the newly elected 2011-2012 president and VPs, followed by a group interview. Please keep an eye on the website and newsletter for the latest information!

All Officer Responsibilities

Elected President's and VPs' Immediate Responsibilities

BY ELECTION


President

The President oversees all of SWE's operations. Must have prior SWE leadership experience (e.g. executive board, officer council, or committees). Responsibilities include:

  1. Conduct and attend weekly executive board meetings, biweekly meetings with the Women In Engineering Director, Vice Presidents & Presidents meetings as necessary and bimonthly all officer meetings
  2. Meeting all University and SWE National deadlines for section recognition, funding, and periodic reports
    1. Organize attendance to SWE Regional and National Conferences
    2. Publicize and recruit SWE members¡¯ conference participation
    3. Monthly conference calls with the Regional Leadership Team
  3. General oversight of executive board and event planning
  4. Develop leadership within the Officer Council and identify and prepare future leaders
  5. Plan 3 SWE-USC officers retreat (Transition, Fall, Spring Planning)
  6. Checking SWE email and mailbox frequently and keeping in contact with RTH staff
  7. Guide the development of yearly SMART goals and track progress
  8. Present to the Industry Advisory Board quarterly
  9. Work with the VP of Corporate Affairs to secure sponsorships
  10. Attend weekly executive board meetings
  11. Overall, promoting SWE to the best of her ability, and keeping section vitality!

Vice President of External Relations [New Position]

The VP of External Relations is the hub of information in SWE-USC and works to create a cohesive image through all avenues of publicity. Responsibilities include:

  1. Compile the weekly e-Newsletter
    1. Update swe-usc email listserv with new members from signup lists and update member list from national roster
  2. Select and oversee committee of Historian, Webmistress, Social Networker, Designer, ACA Liaison to create a cohesive and effective public image
  3. Oversee rotation of member attendance recording duties among committee
  4. Be knowledgeable of all avenues of publicity and know the timeline for each and when to choose appropriate types of publicity for each event.

Vice President of Corporate Affairs

The VP of Corporate Affairs serves as the SWE-USC liaison to the corporate world, educating members about the job market, and introducing them to job/internship opportunities. Must have prior SWE leadership experience (e.g. executive board, officer council, or committees). Responsibilities include:

  1. Serve as one of three vice presidents on the executive board, responsible for running general and executive board meetings in the event the President cannot be present.
  2. Find, contact, solicit sponsorship for SWE events
  3. Create, update and send solicitation packets
  4. Maintain an updated database of corporate contacts
  5. Compile resource of job/internship opportunities for members
  6. Oversee corporate events including but not limited to:
    1. Evening With Industry
    2. Afternoon With Industry
    3. Meets & Mingles
    4. CED Corporate Events
    5. social corporate events
  7. Work with Corporate Affairs Committee to plan, coordinate and execute student oriented programs
    1. Conduct and prepare agenda for committee meetings
  8. Acts as the Executive Board liaison to the Corporate Affairs Committee
    1. Notifies committee members of upcoming SWE events
  9. Attend biweekly meetings with the Women In Engineering and Vice Presidents & Presidents meetings as necessary
  10. Plan Fall Welcome Back BBQ/Karaoke with other two VPs
  11. Attend weekly executive board meetings
  12. Send out emails to the officer council describing upcoming event rundown

Vice President of Student Affairs

The VP of Student Affairs publicizes and promotes SWE events to members and non-members. Must have prior SWE leadership experience (e.g. executive board, officer council, or committees). Responsibilities include:

  1. Serve as one of three vice presidents on the executive board, responsible for running general and executive board meetings in the event the President cannot be present.
  2. Oversee student affair events including social and academic but not limited to:
    1. Charm School
    2. Date Auction
    3. Tea With Faculty
    4. Big/Lil Sib Program
    5. Ice Cream Socials
  3. Work with Student Affairs Committee to plan, coordinate and execute student oriented programs
    1. Conduct and prepare agenda for committee meetings
  4. Acts as the Executive Board liaison to the Student Affairs Committee
    1. Notifies committee members of upcoming SWE events
  5. Attend biweekly meetings with the Women In Engineering and Vice Presidents & Presidents meetings as necessary
  6. Plan Fall Welcome Back BBQ/Karaoke with other two VPs
  7. Attend weekly executive board meetings
  8. Send out emails to the officer council describing upcoming event rundown

Vice President of Community Affairs

The VP of Community Affairs serves as the SWE-USC liaison to SWE national and to the community through philanthropy outreach events. Must have prior SWE leadership experience (e.g. executive board, officer council, or committees). Responsibilities include:

  1. Serve as one of three vice presidents on the executive board, responsible for running general and executive board meetings in the event the President cannot be present.
  2. Oversee following community outreach programs but not limited to:
    1. SWE: Halloween Fun Fair, Try It Riot, Girl Scout Badge Day, beach cleanups, shelter volunteering
    2. Joint: CED Canned Food Drive, Habitat for Humanity
  3. Work with Community Affairs Committee to plan, coordinate and execute community outreach programs
    1. Conduct and prepare agenda for committee meetings
  4. Acts as the Executive Board liaison to the Community Affairs Committee
    1. Notifies committee members of upcoming SWE events
  5. Attend biweekly meetings with the Women In Engineering and Vice Presidents & Presidents meetings as necessary
  6. Plan Fall Welcome Back BBQ/Karaoke with other two VPs
  7. Attend weekly executive board meetings
  8. Upload outreach data to SWE Nationals SWEeter futures initiative
  9. Send out emails to the officer council describing upcoming event rundown

Treasurer

Money makes great SWE events happen! Duties of the treasurer include:

  1. Keeping books on SWE-USC bank account
    1. Cut checks for SWE transactions
    2. Make deposits to the accounts
    3. Handle reimbursements
  2. Setting up and maintaining online payment account
  3. Producing monthly expenditure financial reports. Include:
    1. Allocation of income, resources, and funding
    2. Cash flow of expenditures
  4. Assist SWE membership process
    1. Develop instructions sheet to online membership
    2. Handle borrowing/collecting laptops for submitting membership at meetings
  5. Maintaining demographic info
    1. Breakdown of majors, year, gender
    2. Create charts with updated info
  6. Compiling and submitting SWE National annual financial report in May
  7. Attend weekly executive board meetings
  8. Find potentially lucrative fundraisers
  9. Coordinate PDGs

Section Improvement Officer [New Position]

Gather and develop new ideas to improve the section. Propose these internal projects to the board, acquire buy-in and coordinate with the necessary players to accomplish the internal project. Track progress and trends through quantitative means (graphs, numbers, etc). Must have prior SWE leadership experience (e.g. executive board, officer council, or committees). Non elected position, but must submit application. Incoming board will select its own Section Improvement Officer. Responsibilities include:

  1. Present event attendance data to demonstrate trends developing
  2. Maintain/enhance incentive program (SWE member of the semester/month)
  3. Gather feedback from attendees using survey questions developed after Eboard discussion
  4. Gather resources to enhance the section (read Region B blog, Region B website, national website, other section websites, other USC org websites)
  5. Seek out and maintain mutually beneficial partnerships
  6. Record and circulate minutes for officer meetings
  7. Send minutes by email to officers in a timely manner
  8. Know the deadlines and requirements for all applicable awards (Nationals, Regionals, Viterbi, USC, etc)
  9. Attend weekly executive board meetings
